What goes into the cost
Whatever you are quoted, ask what is included in each of these.
- The software itself. Bought once as a licence, or paid for as a monthly or yearly subscription.
- Maintenance and hosting. Some vendors charge yearly for updates, fixes and keeping your data online. Ask what happens if you stop paying.
- Hardware. A phone, tablet or computer you already own is enough for browser-based software. A receipt printer or barcode scanner is extra, and optional with some systems.
- Setup and training. Entering your products is the biggest job. Ask whether you can import a spreadsheet.
- Transaction fees. Systems that process your card payments take a cut of each one. Systems that only record payments do not.
- Extra branches and staff. Many plans cap them. Ask what the next branch costs.
Licence or subscription: which is cheaper?
A subscription costs less on day one and more every year. A licence costs more up front and less over time, since you own the software and pay only a yearly maintenance fee for updates and hosting. If you plan to use the system for several years, work out the total for both before you decide, not just the first payment.
