Features

Everything it does, in plain language.

Built for shops that run on cash, sell in fractions, lose the network halfway through a queue, and need to know which counter came up short.

01

Point of sale

Fast checkout for walk-in customers on cash, card, POS terminal or bank transfer. Every sale is logged against the staff member who processed it, with payment method, items and timestamp.

02

Per-cashier cash boxes

Each cashier holds their own float and squares their own drawer. One number gets typed at close, what is physically there, and everything else is already worked out. A shortfall points at a counter, not at the branch.

03

Works without internet

NEPA takes the light, the network drops, the queue does not stop. Sales keep ringing up offline, saved on the device, and sync the moment the connection returns, each one tagged so it can never be counted twice.

Offline checkoutDuplicate-proof syncNo lost sales
04

Inventory management

Track every unit across every branch. What is in stock, what is running low, what is close to expiring and what is gone, with a history of every change and who made it.

05

Returns and refunds

Return whole lines or part of one, refunded from what the customer actually paid rather than a fresh price calculation. Goods that came back broken are written off instead of quietly returning to the shelf.

06

Real profit, not just takings

Put a cost price on a product and every sale works out what it actually made you. The cost is stamped onto the sale line at the moment it is rung up, so raising your buying price next month does not quietly rewrite what last month earned. Returns come off the cost as well as the takings, and running costs come off the total, so the profit figure is what is left rather than a margin before the bills.

07

Expense tracking

Log and categorise every business cost. Nine categories to start with, and you can add your own, so a bakery tracks flour and a transport company tracks tyres instead of both filing it as Miscellaneous.

08

Stock loss and shrinkage

Every write-off carries its own reason, theft, damage or spoilage, tracked separately from ordinary stock corrections. See what shrinkage actually costs you, by branch, instead of it vanishing into adjustments.

Vendor management

Record deliveries, log payments and see a live running balance per supplier. Money handed over at the door counts the same as a payment entered later. FIFO settles the oldest debt first.

Customer accounts and wallets

Let trusted customers buy now and settle later on a running account, capped at a credit limit you set, or hold prepaid wallet funds that draw down automatically.

Fraction-accurate selling

Sell part of a unit, a quarter, an eighth, a sixteenth of a carton, and the exact amount is what gets recorded, held and charged. Four decimal places, no silent rounding.

12

Stock transfers and kg conversion

Move stock between branches in one click. It leaves one location and lands on the other, no separate receiving step. Buying in cartons and selling loose by weight is handled: send cartons, weigh what arrives.

Smart bulk discounts

Set a quantity threshold and a per-unit discount on any product. Once a customer buys enough the discount applies at checkout automatically, itemised on the receipt, with no attendant guesswork.

Staff and HR

Schedule shifts, track clock-ins, assign tasks and share announcements across every branch, from one place a manager can check in minutes.

Asset and equipment tracking

Track every fridge, terminal, generator and piece of furniture you own, separately from what you sell. Condition, location and value per branch, without walking the floor to find out.

AI business insights

Ask your business a question in plain English. How much did the bar make yesterday, what is low in stock. An analyst reads every branch and writes a report with real figures.

Questions

The things owners ask first.

Can I see what is happening at all my branches from one place?

Yes. One screen carries every branch you run: takings, profit, what is low in stock and which cashiers have counted up. You can look at one branch on its own or all of them together, and it is the same view whether you are in the shop or not.

How do I know my staff are not making unrecorded sales or taking stock?

Three things make it hard to hide. Every sale is attributed to whoever rang it up. Every cashier squares their own drawer, so a shortfall belongs to a person rather than to the branch. And every refund, write-off and stock adjustment notifies the owner and lands in the activity log with a name and a time against it. Nobody can quietly shrink a sale total.

I have several branches. Will one account handle all of them?

Yes, that is what it is built for. Staff see only their own branch. Managers see the branch they run. You see all of them, and can move stock between them in one step.

Is my data private from other businesses using UbiquePOS?

Yes. Every record in the system carries the business it belongs to, and every query is filtered by it before it runs, at the framework level rather than page by page. No screen, report or export can reach another business's data.

What is the difference between the licence fee and the maintenance fee?

The licence is a one-time payment and you own the software. The yearly maintenance fee covers hosting, security updates, fixes and new features, and is 20% of the licence. If you stop renewing it your software keeps working, but hosting pauses and updates stop. You get notice first and your data is never deleted. If you would rather not pay a licence up front, take the monthly plan instead.

Does it work with slow or unstable internet?

It is built for it. Sales complete offline and sync when the connection returns, tagged so nothing is counted twice, and the customer never sees a word about it on their receipt.

Can customers browse my products online without an app?

Yes. The storefront is a web page they reach by scanning a QR code. Live stock, sold-out items hidden, nothing to download.

Is there a contract? What if I want to stop?

No contract. On the monthly plan you cancel whenever you like. On the licence you have already bought the software and it stays yours. Either way you can export your data, and we do not hold it hostage to make leaving difficult.

See it against your own numbers.
